At Healthy Connections Clinical Psychology, we value your time and the time of our dedicated professionals. To ensure the best experience for all our clients and therapists, we have established a Late Notice Policy.

Policy Overview

Appointments are a critical part of your therapy journey and are essential to your therapeutic progress. Our team of therapists invest in preparing for your sessions to provide the highest level of care. We understand that unforeseen circumstances can arise, and we aim to accommodate your needs. However, last-minute cancellations, rescheduling, or no-shows have a significant impact on both clients and therapists.

Late Notice Fees

If you need to cancel or reschedule an appointment with less than TWENTY-FOUR (24) HOURS NOTICE, or if you fail to attend your appointment without any prior notice, a fee equivalent to 100% of the appointment cost will be charged. Cancellations received with 24 to 36 hours’ notice will incur a late notice fee of 50% of the appointment cost (100% for NDIS Plan Managed appointments).

Why It Matters

Late notice cancellations have an impact on three important aspects:

  1. The Client: Late notice can potentially disrupt your therapy momentum and delay your therapeutic progress. Consistency in therapy sessions is crucial for achieving your goals.
  2. Other Clients: When appointments are cancelled or rescheduled at the last minute, another client, possibly on a waiting list, could have benefitted from that session time. We strive to accommodate as many clients as possible, and late notice affects the availability of services for others.
  3. The Therapist: Our therapists invest in preparing for each session. When late notice leads to cancelled sessions, it not only affects their schedules but also their ability to provide the best possible care to all clients.

Exceptions

We understand that there may be exceptional circumstances beyond your control. If you experience an emergency (such as a death in the family or hospitalisation) that prevents you from attending your appointment, please contact our Client Care team as soon as possible to discuss the situation.

How to Avoid Late Notice Fees

To avoid late notice fees, we kindly request that you:

  • Provide a minimum of 36 hours’ notice for cancellations or rescheduling.
  • Make every effort to attend your scheduled appointments on time.
  • If you are unable to attend your appointment, contact our Client Care team as soon as possible to reschedule or discuss any concerns.

Appointments may be cancelled or rescheduled via email (admin@hccp.com.au), voicemail or telephone (02 4739 9786), or text (0400 458 498). Email and SMS reminders are sent as a courtesy but may not be reliable. You remain responsible for keeping track of your appointments.
